VIA CIVIC Association actively participates in international projects, developed within the framework of the Erasmus +  program, on various topics, which provide opportunities for trainings and youth exchanges with the aim of developing new skills and competences in young people and youth workers, increasing knowledge, enriching friendships, partner networks and contacts, becoming acquainted with new places and cultures, etc.

In order to participate in a project, you must:

  1. Read the topic and aims of the project carefully
  2. Check if you fit the participant profile
  3. Don’t wait for the last minute and comply with the deadlines
  4. Acquaint yourself with any other conditions for participation, described in the info pack
  5. Read our rules for participation in mobilities

Our team carefully selects the participants for each project, paying special attention to motivation, ideas for applying the new knowledge in their professional and personal life after the training, willingness to share the experience and participate in the dissemination of the project results and publicity activities. For us mobilities are an investment in youths and we would be glad to contribute to their empathy and engagement with causes from the civic sector, as well as to solving youth problems.

VIA CIVIC Association does not collect any taxes from participants in mobilities, as we believe this practice contradicts the spirit and concept of the Erasmus + program, impedes access to training and educational opportunities, and is not clearly justified.

Exceptions to the above are mobilities, wherein the coordinator regulates the financial contribution of the participants in advance, but that is settled without our mediation.

The participation of our candidates is based on proactiveness, organization and independence, with our team providing the necessary support and cooperation at every stage.

RULES FOR PARTICIPATION IN PROJECTS

RULES FOR PARTICIPATION IN PROJECTS

#1 Travel

  • The participant researches the travel options, books and buys the ticket himself, in accordance with the instructions
  • Arranges their trip no later than 7 days after being selected
  • Looks for assistance from VIA CIVIC if there is difficulty in purchasing the ticket
  • If the ticket is not purchased on time and no information is provided regarding the cause of the delay, it is assumed the participant is backing out and a new participant is selected
  • The travel options must be consulted with VIA CIVIC and the tickets are purchased only after receiving a written confirmation
  • The participant chooses an economical way to travel, in accordance with the budget
  • The participant keeps all payment and travel documents, as they are necessary for reimbursement
  • Travel expenses are not reimbursed to participants, who did not depart, therefore did not participate in the project, due to personal reasons
  • Starting the trip from a place, which is not Bulgaria, is possible, after receiving explicit permission
  • The participant has the right to arrive two days earlier than the starting date of the project or stay up to two days after the end date, but it must be agreed upon in advance. If this stay is prolonged, the travel expenses are not reimbursed.
  • The participant gets insurance at their own expense before the trip
  • The participant provides information for any problems, concerning their health and wellbeing, in advance (chronic illnesses, dietary restrictions, allergies, etc.)

#2 Participation

  • The participant acquaints himself thoroughly with the essence of the project
  • Commits to participating on all the days, prevised by the project
  • Completes the preliminary tasks on his own, with support from VIA CIVIC if necessary
  • Regularly communicates with the team, responsible for the project
  • Joins the created groups in Facebook, Skype, etc. to keep up with the current information and participate in the communication
  • The participant provides the personal information, needed for the project, related to logistics
  • Fills the necessary application forms, developed for the project
  • Takes part in the organized informational meeting with VIA CIVIC’s team
  • During the project, takes part in all activities, prevised in the program, excluding cases wherein health problems occur
  • In case of any difficulty during the project, the participant contacts VIA CIVIC and signals, so measures can be taken on time
  • During the project, the participant documents and gathers pictures and any other materials, needed for the dissemination of the results

  • Cooperates for the filling of the YouthPass certificate
  • Fills the report, automatically sent through the Mobility Tool system of Erasmus+
  • The participant makes an electronic copy of the travel documents and provides them to VIA CIVIC and/or the organizer via email
  • The original travel documents are sent by mail to an address, provided by the organizers
  • The participant gives a detailed description of travel expenses and provides a bank account, to be used for reimbursement
  • Expenses, exceeding the approved travel budget are paid for by the participant
  • Expenses are reimbursed only through a bank, to the participant’s account, within 2 months after the participation
  • The participant commits to participate in future meetings with youths to share experience from the projects

#4 Dissemination of results

  • The participant prepares an informational piece (article, blog post, video, etc.) for dissemination of the results within 10 days after the end of the project
  • They provide the piece in Bulgarian and English, ready to publish on VIA CIVIC and the partners’ dissemination channels
  • They provide pictures and video
  • They participate in informational and publicity activities, including assisting in the dissemination of information
  • They provide the received training materials (work sheets, manuals, online resources – links, etc.) to VIA CIVIC
  • They provide a contact list of the project participants
  • They participate in the implementation of VIA CIVIC’s communication strategy, in promoting the opportunities of Erasmus +

#3 Follow-up activities
